1. Personal information we may collect

Depending on the work you ask us to do, we may collect your name, business or trading name, job title or role, telephone number, email address, postal and service-site address, equipment and asset details, service and repair history, quotation and contract details, invoice and payment status, communications with us, and relevant site-access or safety information. Website enquiries may also generate technical information such as IP address and server/security logs.

We do not normally need special category personal information. Please avoid sending sensitive personal information unless it is genuinely necessary for the service or a legal requirement.

2. Why we use personal information and our lawful bases

Respond to enquiries, prepare quotations and arrange requested work: contract / steps requested before a contract where the individual is the contracting party; otherwise legitimate interests in responding to business enquiries.

Administer maintenance agreements, schedule visits, identify equipment, keep service records and communicate with customer/site contacts: contract where the individual is the customer (for example a sole trader); otherwise legitimate interests in delivering and administering services to business customers.

Issue invoices, record payments, maintain accounting records and meet tax/legal obligations: contract, legitimate interests and legal obligation, depending on the processing involved.

Manage safety, complaints, debt recovery, fraud prevention, insurance and legal claims: legitimate interests and/or legal obligation.

Operate and secure our website, email and IT systems: legitimate interests in operating secure and reliable business systems.

Where we rely on legitimate interests, those interests include managing business relationships, providing and improving our services, keeping appropriate service records, protecting our business and pursuing or defending legal rights. We consider whether the use is necessary and proportionate and whether your rights override our interests.

3. Payments

Payments may be collected through Stripe, a bank or another agreed payment provider. Where a payment provider collects card or bank details directly, Jet Wash UK will normally receive payment status, transaction references and related account information rather than full card details. The payment provider processes information under its own privacy arrangements as well as any processing it carries out for us.

4. Who we may share information with

We may share personal information where necessary with payment processors such as Stripe; banks; accountants or bookkeepers; email, website, cloud-storage and IT providers; suppliers or couriers where needed to fulfil an order or service; insurers, professional advisers and debt-recovery providers; and public authorities or regulators where required by law. We do not sell personal information to advertisers.

5. International transfers

Some technology or payment providers may process information outside the UK. Where UK data protection law requires a transfer safeguard, we will use an appropriate lawful transfer mechanism. You can contact us if you would like more information about safeguards relevant to your information.

6. How long we keep information

We keep personal information only for as long as reasonably needed for the purpose for which it was collected, including legal, accounting, tax, warranty, insurance and dispute requirements.

  • Enquiries and quotations that do not proceed: normally up to 2 years after the last meaningful contact, unless there is a reason to keep them longer.
  • Customer contracts, service records, invoices and core account correspondence: normally up to 6 years after the end of the customer relationship or last relevant transaction.
  • Complaints, debt recovery, insurance matters and legal claims: for as long as reasonably necessary to resolve the matter and meet applicable limitation, insurance or legal requirements.
  • Website/security logs: for the period reasonably necessary for security, troubleshooting and system administration.

7. Your data protection rights

Depending on the circumstances and lawful basis, you may have rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, data portability, and to object to certain processing. Some rights are subject to legal conditions and exemptions. To exercise a right, contact us using the details above. We may need reasonable information to verify your identity and locate the relevant records.

Your right to object: where we rely on legitimate interests, you have the right to object to our use of your personal information. Tell us what processing you object to and why. We will consider your request in accordance with data protection law.

9. Security

We use proportionate technical and organisational measures intended to protect personal information against unauthorised access, loss, alteration or disclosure. Access is limited to people and service providers who need the information for legitimate business purposes.

10. Website cookies and marketing

Our website may use technical or essential cookies needed for operation and security.
